How we help · Building management dispute analysis
Your building is planning major repairs, but the quotations, scope and meeting papers are unclear. What questions should you ask? Disputes over management fees, accounts, service standards and owners’ meetings may also be connected.
You may already have contacted the management office, attended meetings and collected photographs, receipts and group messages, yet still be unsure what to do next.
Starting with major repairs, these ten situations set out the issue, what to clarify first and how U Vision can help.
Building management dispute analysis
Some owners want work to start immediately; others question whether it is necessary. Prices vary widely, while differences in methods, materials and warranties remain unclear.
What problem will the works address? Is there an immediate safety issue? Are quotations based on the same specifications? Who will supervise, inspect and follow up warranties? A large contract value does not mean every project has the same voting requirements.
Organise technical advice and quotation differences, prepare questions for contractors and help owners make informed decisions. Qualified professionals handle technical diagnosis and acceptance inspections.
Water appears on a downstairs ceiling, but the upstairs owner reports no leak. Management considers it a private matter, while the owner suspects the façade or a communal pipe. Responsibility is disputed before the source is established.
Identify the water source, private and common areas, and what existing tests can establish. The visible location, source, repair responsibility and compensation responsibility are separate questions.
Organise the timeline, photographs, tests and responses, identify evidence gaps and coordinate further inspections and measures to stop the water.
Management cites rising costs, but owners cannot see the budget or understand how homes, shops and parking spaces share charges. Withholding payments over poor service can mix fee arrears with service disputes.
Clarify the basis of charges, budgets and actual spending, how increases were decided and how each unit’s share is calculated. Assess service performance separately against the contract and actual conditions.
Organise income, expenditure and allocation information; prepare questions for management; and help address fee concerns and service improvements separately.
Only a brief statement is displayed. Owners cannot obtain clear information about works payments, bank balances or reserves. Questions about accounts do not by themselves establish misuse of funds.
Specify the period and transactions, then identify supporting receipts, contracts, payments and bank records. Precise requests make discrepancies easier to locate.
Prepare a document list and organise questions and responses. Where accounts are complex, help define the scope for review by an accounting professional.
Cleaning, security patrols or repairs fall short. Residents feel ignored, while the company says it has met its contract.
Compare contractual commitments with recorded events, duration and management oversight. Turn broad dissatisfaction into specific, verifiable issues.
Organise a list of contract requirements, actual conditions, evidence and improvement deadlines; help communicate requests and track progress.
Owners disagree about replacement and possible disruption. Contract expiry, notice and decision-making are unclear. Even after a decision, accounts, funds, keys and equipment records may not transfer smoothly.
Clarify contract terms, the applicable decision procedure, notice periods and handover arrangements. A replacement decision is only one step towards continuity of service.
Organise the decision timetable, compare proposals, prepare a handover checklist and support communication with outgoing and incoming management.
Owners question notices, agendas, proxy documents, eligibility or vote counting. The meeting leaves more disagreement than before.
Organise the notice, agenda, attendance and proxy records, unit shares, votes on each motion and minutes. Different matters may have different approval requirements.
Help prepare clear proposals and supporting information before meetings, then organise records and disputed points afterwards. A lawyer should promptly assess questions of validity or statutory deadlines.
Owners question spending, contracts or reporting, while committee members feel that complaints are not matched by participation. Expectations of authority and responsibility differ.
Identify who decided what, the supporting authority and available meeting and payment records. Distinguish procedural gaps, communication gaps and performance issues.
Map decision and reporting processes, organise owners’ concerns and help establish clearer responsibilities, records and responses.
Belongings obstruct corridors or someone exclusively uses a platform or holds roof keys. Other owners raise concerns about access, safety and use.
Compare property registration, constitutive documents, approved plans and building rules with actual use and its impact. Long-standing use alone does not settle ownership.
Organise documents, site conditions and each party’s concerns, and help formulate practical improvements.
Residents want immediate action, management says it can only advise, and the alleged source denies the problem. Complaints strain relationships without resolving the issue.
Record the source, timing, duration, impact and steps already taken. Different nuisances may involve different rules and authorities.
Organise incident and communication records, prepare specific improvement requests and clarify whether management, an authority or another professional should handle the next step.
Physical conditions, accounts, contracts, meetings and communication often overlap. Depending on the agreed scope, we can help with:
Bring together timelines, documents and each party’s account.
Separate known facts, disagreements and matters needing investigation.
Understand the conditions, costs and implications of different approaches.
Prepare discussion points, follow-up lists and decision materials.
Establish what is known and what still needs checking before comparing possible actions.
